Oral Presentation Guidelines

Check your session time and room carefully as there will be 3 concurrent sessions running throughout the conference. We strongly advise you to PRACTICE your presentation by giving it to some colleagues before you depart for the conference.

UPLOADING YOUR PRESENTATION:
• Please load your presentation with the AV team in the speakers prep. room after you have registered for the conference. The speakers prep. room is located in the Grand Hall infront of the registration desk. (Conference staff will direct you.)
• To ensure the smooth running of the programme all presentations must be loaded at least one session prior (speakers on Monday’s first technical session should load talks before the opening plenary if possible.)

PREPARATION:
• Please meet your session chair-person 10 minutes before the session starts in the correct room.
• Check your presentation runs correctly.
Familiarise with AV gear, rostrum and mike, pointer etc.

TIME:
• The allocated time for your speaking slot is 15 minutes TOTAL. We suggest aim for 12 minutes speaking and 3 minutes for discussion and questions. We emphasise the importance of starting and finishing on time – so that parallel sessions stay synchronised. Session chairs have been instructed to ensure that you do not go over your allocated time. They will show flash cards to indicate you are ten minutes into your talk (green card), 12 minutes (yellow card – “time to wrap up”) and a red card means “you are off!”. There will be a warning bell at start/end of speaking slots, and delegates are free to move between parallel streams at that time.
• Presenters are asked to sit in the front of the room (for fast changeover of speakers)

AV:
All presentations must be MS PowerPoint files (2003 or 2007), please bring your file on a memory stick with the presenters name in the file name.
Please ensure that:
• there are no other .ppt files on your memory stick (so your presentation is unambiguous)
• any video or audio files are separate files
• your memory stick is virus free
• Mac users should trial their presentations on a Windows machine before travelling to Rotorua
We suggest you bring your presentation with you on a memory stick as a backup in the event ofcorruption of the loaded presentation file or other difficulties.

Size:
Posters should not exceed 120 cm tall and 120 cm wide.

Layout and Style:
Title – The title should include author’s names, affiliations and email address.
Flow –The flow of the chart should be clear and logical. Individual pages should be numbered.
Type size – Titles and headlines should be readable from 2 meters and text body should be readable from at least 1 meter.
Handouts - Ideally one-page handouts with overview of poster and contact details.
Presenter – Have a photograph of the first author with contact information on the poster.
Register of Interest – A sheet of paper for contact details of people who would like further information.

Submission:
At least one author of the poster should be present at the conference. Presenters should bring their posters with them to the conference where you will set up your posters according to the number previously given; materials will be available for you to do this. The posters will be dismantled by authors at an allotted time.
Schedule – Presenters presence at the poster is expected during the specific poster session scheduled period.
